Overview

On-Time Web is a flexible and scalable time tracking solution for companies of all sizes. With two versions of On-Time Web we can find the right solution for your company. There is no software to install. On-Time Web is a robust online application, also known as Software as a Service (SaaS). This service is hosted securely on our servers. We backup our servers daily in a secure manner, so you can trust us with your data. The system contains two versions, Basic and Pro. The Pro version contains all the Basic version features plus the additional features as outlined below.


Basic Version

  • Customize the screens with various style sheets to choose from.
  • Generate PDF reports on the fly.
  • Quick and simple review and approval process will not interfere with your business procedures.
  • Find records with multiple filters using the advanced search.
  • Easily integrates with your payroll software, such as QuickBooks ™.
  • Allow Supervisors to record time for their employees who do not have internet access to On-Time Web.
  • Create custom regular, premium and double time earning codes such as vacation, holiday and overtime.
  • Create daily and weekly overtime methods that tell the system when overtime starts.
  • User-defined field sizes for employee ID's, Department IDs, job IDs and phase IDs.
  • Supervisors can write comments on their employees' individual timesheet records. The employees can then see a notification flag that allows them to view the comment.
  • All date and time functions work within your time zone.
  • Create supervisor groups and assign supurevisors and employees to the defined groups.
  • Create custom welcome and footer messages for all employees.
  • Set each employee's default earning code, department, timesheet type and login type.
  • Easily import existing employee information, departments, jobs and phases using the supplied templates.
  • Company administrators have the ability to activate/inactivate the site.
  • Sheet Type Entry Method, allows for more flexibility creating time transactions by the employee. They can choose their own starting/ending times and the date the transaction occurred. Employees may also have the option of choosing different departments, jobs and phases and earning type.
  • No Calculators Required Similar time tracking products and services only allow you to input total hours in for a day. With On-Time Web, using the sheet method, you enter actual time. Or just enter the number of hours worked to calculate the end time. The system always calculates hours whether the employee uses punch or sheet.
  • A Friendly Yet Effective User Interface Personalize the appearance of your company's On-Time Web account. Add your company logo and customize the color scheme corresponding to your company's corporate design. It couldn't be easier to visually integrate On-Time Web into your business.
  • Advanced Search On-Time Web's advanced search feature allows you to filter records with any of the criteria associated with that record.
  • Supervisor Edits and Comments Easily view what your supervisor has to say about your timesheet entry with the clear to see pop-up. If changes were made you can view the original entry right on the same screen. The "comments" and "edits" images lets employees know that there have been actions made on their time records.
  • Selection of Style Sheets Choose between several unique style sheets that best suits and represents your company.
  • Grid View Employees can easily view their past transactions and see the status set by their supervisor. Whether they need to make edits to the entry, view comments or changes made by a supervisor, or even delete the entry, grid view rids confusion and allows for swift actions.
  • On-Time Web Reporting. On-Time Web has a powerful and flexible reporting section that allows its users to take advantage of many reporting variations by using multiple filters. Filters allow you to limit and/or filter your data before you run a report. By doing this, you can create more specific reporting without the need to have custom programming. The filters on each report may differ slightly. However, every filter is related to the content in the report. For example, the timesheet report has filters for employees, departments, jobs/phases, supervisors, and a date range. The earn type, departments, jobs/phases, and company information reports do not use any filters.
  • Simple Data Importing With the Data Import function it couldn't be easier to import employee, department, or job and phase records into On-Time Web. Just download one of the defined templates that are available on your company's On-Time Web site. Populate the template with your data and upload it. The system will advise you about duplicate records and the system will not import duplicates. New records will be inserted and you will be notified. This saves a significant amount of time. Especially when inserting an enormous amount of records. The Data Import function comes standard with both the basic and pro versions of On-Time Web.
  • Data Exporting The pay period has ended. Now we need to utilize the data stored in On-Time Web. Company Administrators can export the approved transactions in three different formats. CSV is a universal format that can easily be integrated into your payroll program. Export the records to a Microsoft © Excel spreadsheet for easy portability. Also, you may export the transactions to a QuickBooks ® payroll file.
  • Defense Contract Audit Agency (DCAA) Compliant Any organization that contracts with the US Department of Defense must follow specific timekeeping guidelines set forth by the Defense Contract Audit Agency (DCAA). These time tracking guidelines have been implemented by the United States Government to ensure contractors time and costs for Department of Defense projects are accounted for accurately and without misuse. On-Time Web meets these guidelines and is completely DCAA compliant.

  • Capture IN, Out, Go to Lunch, Return From Lunch, Go to Break and Return From Break types of punch transactions.
  • On-Time Web Mobile allows for easy timesheet entry from any internet enabled portable device for employees who are not always at a computer.
  • OT1000 Smart Clock integration. Automatically gathers employee time punches from the OT1000 Smart Clock and displays them in the employee timesheet as if they were keyed.
  • Email reminders encourage employees to complete their timesheet more swiftly.
  • On-Time Web can calculate overtime based on the company rules you specify.
  • Create different jobs and phases. Assign certain jobs and phases to employees.
  • Import timesheet records into Open Systems Accounting Software ™.
  • Punch Type Entry Method. This is the quickest and most basic entry type for employees. They simply click "IN" when they start a job and click "OUT" when finished. If an employee needs to quickly change departments, jobs or phases they can click "switch" without any loss of time. "Go Lunch" and "Return Lunch" buttons are also available.
  • On-Time Web Mobile On-Time Web Mobile is a more basic, portable device-friendly site. Employees can enter their time using sheet or punch types quickly and easily while on the go! Existing entries can still be viewed and edited as well. There is no report creation, file maintenance, or system functions on the mobile side.
  • OSAS Importing On-Time Web Pro users are furnished an Open Systems Accounting Software compliant payroll transaction import program that will automate the transaction import for the payroll module.
  • Send Email Messages On-Time Web allows employees and supervisors to communicate with one another. Supervisors and company administrators can send email reminders to complete or correct timesheets. Company administrators have the option of emailing company wide messages. The body of the message allows rich-text formatting that allows you to emphasize areas of the messages.
